Artificial intelligence tools are being applied to grants management in multiple ways: AI assistants that help applicants write proposals, AI screening tools that filter applications before human review, AI analysis tools that identify patterns across grant portfolios, and AI chatbots that answer applicant queries. Some of these applications are genuinely useful; others introduce risks that funders need to understand.

This is not a grants management platform feature — it is happening regardless of what platform funders use. Funders need to decide whether AI-assisted applications are acceptable and, if not, how to detect them (which is genuinely difficult).
Application screening and prioritisation. Some grants management platforms and third-party tools offer AI-assisted screening — using natural language processing to score or rank applications against stated criteria before human assessment. This can reduce the volume of applications that proceed to full assessment by flagging clearly ineligible or very low-scoring applications.
Duplicate detection. AI can identify applications that are substantially similar to each other or to applications in previous rounds — helping detect applicants who submit multiple versions of the same proposal, or organisations that resubmit declined applications with minimal changes.

Passing application content through third-party AI tools (including general-purpose LLMs) may create data privacy risks — particularly under GDPR, POPIA, and equivalent legislation. Funders using AI tools should understand where application data goes and how it is used.
Over-reliance on automation for subjective decisions. Grant assessment — particularly for complex programmes with nuanced social change goals — involves subjective judgement that AI cannot reliably replicate. Using AI as a decision-making tool (rather than an information-gathering tool) for complex grants is not appropriate with current technology.
"What does the AI actually do, and what is it not doing?" Vendors use "AI" to describe a wide range of capabilities. Understand specifically what the tool does: keyword matching? Machine learning model trained on what data? General-purpose LLM with a prompt? The specifics matter for evaluating accuracy and bias risk.
"What training data was the model trained on, and what are the known biases?" AI tools trained on limited or non-representative data will have biases. Ask vendors what data was used and what testing has been done for demographic or cultural bias.
"Where does our application data go when processed by this tool?" Data privacy under GDPR, POPIA, and similar legislation requires understanding what happens to personal data. Third-party AI tools that store or use training data may create compliance issues.
"How are AI-assisted decisions explained to applicants?" Any declined applicant has a right to understand why. Ensure the AI tool produces explainable outputs that can be communicated.
"Can we turn it off if we're not satisfied with the outcomes?" AI tools should be tools, not dependencies. The ability to run a programme without AI assistance — if the tool produces biased or poor results — is important.
AI is most useful for grants management in high-volume, lower-complexity tasks: eligibility screening, duplicate detection, administrative summarisation. It is least reliable for complex, subjective decisions about programme merit — and most risky when used in ways that affect accountability or equity.
The practical guidance for most funders: adopt AI tools cautiously, in administrative rather than decision-making roles, with clear audit trails, and with regular review of outputs for bias and accuracy.
